Cancellation & Refund Policy

Thank you for booking with Triad Productions. To honor the integrity of this work and respect everyone's time and energy, the following policies apply:
Booking and your retainer
Your shoot dates are reserved once we receive your signed Statement of Work (SOW) and a 25% retainer. The retainer is credited toward your total project fee.
The retainer is non-refundable. It covers the pre-production work we begin right away and the calendar dates we hold for you, which means turning away other bookings.
Rescheduling
You can reschedule your shoot at no charge with at least 7 business days' written notice. New dates depend on our availability.
Reschedule requests with less than 7 business days' notice are subject to a rescheduling fee of 30% of your total project fee (or our daily rate, whichever is higher). This fee is in addition to your project fee, not credited toward it.
Written notice means email. A text or phone call is not enough on its own, so please follow up in writing.
Cancelling before your shoot
If you cancel before your scheduled shoot date, your 25% retainer is kept as the cancellation fee. You will not owe anything further.
The one exception: if we have already paid non-refundable costs on your behalf (for example, location fees or equipment rentals) and those costs exceed your retainer, you are responsible for the difference. We will always tell you before committing to costs like these.
Cancelling once filming has started
Once filming begins, the full labor and equipment production fees are due, whether or not the shoot is finished. If you cancel after filming, you also pay for any editing or post-production work completed up to the date we receive your written cancellation notice.
At that point our crew, gear, and time have already been committed, so no portion of the production fee is refundable.
Weather and rain dates
Every shoot is booked with a backup (rain) date. If bad weather or other conditions outside our control make the primary date unworkable, we move to your backup date automatically, with no rescheduling fee.
If you cannot make the backup date, or need to reschedule again beyond it, the standard rescheduling fee of 30% of your total project fee applies. You also remain responsible for any non-refundable costs already paid for the original shoot day.
Late arrivals, delays, and no-shows
Your production hours start at the agreed call time, whether or not you are ready. If you arrive late, are not prepared, or do not show up, the clock still runs from that start time.
If we need extra time beyond the booked hours to complete the work, that time is billed at our hourly rate of $275 per hour. A no-show is treated as a cancellation after filming has started, and the full production fee is due.

Completed and delivered work is not refundable. Once final files are delivered, the remaining balance is due within 14 days of the invoice, and refunds are not issued for delivered deliverables.
Any refund owed is returned to the original payment method within 14 business days of your written cancellation.
Questions and the fine print
This page is a plain-language summary. Your signed Statement of Work is the binding agreement, and if anything here differs from your SOW, the SOW controls. Fees and percentages above are based on our standard terms; your SOW lists the exact dollar amounts for your project.
